1. Who We Are and What This Policy Covers

Keilogic, LLC, a Georgia limited liability company, doing business as The Place 4 Homes (“TP4H,” “we,” “us”), operates a real estate marketing platform for Costa Rica. The platform includes the TP4H website, the central buyers page, and the branded agent websites we host for our member agents — whether on a TP4H subdomain or an agent’s own custom domain (together, the “Platform”).

This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to everyone who uses the Platform: visitors browsing properties (“visitors” or “buyers”) and real estate agents with Platform accounts (“agents”).

For agents, this Policy forms part of the Agent Agreement. If you do not agree with this Policy, please do not use the Platform.

2. Information We Collect

2.1 From agents

  • Application and account information: your name, email address, phone number, agency or business name, and the other details you provide when applying to join and when maintaining your account.
  • Profile and branding content: your photo, logo, biography, and the property listings and photographs you post. Note that this content is intended for public display — that is the purpose of the Platform.
  • Payment information (after commercial launch): when paid subscriptions begin, payments will be handled by a third-party payment processor (identified before paid subscriptions begin). TP4H does not store full card numbers on its own servers.
  • Communications: messages you send us, including support requests and feedback.

2.2 From visitors and buyers

  • Inquiry information: when you submit an inquiry about a property, we collect the information you enter — typically your name, email address, phone number, and your message.
  • Nothing else is required: you can browse listings on the Platform without creating an account.

2.3 Collected automatically

  • Technical data: IP address, browser type, device type, pages visited, and similar log information, collected for security, debugging, and understanding how the Platform is used.
  • Cookies: we use cookies that are necessary for the Platform to function (for example, keeping an agent logged in and remembering your language preference — Spanish or English). We do not use analytics or advertising cookies.

3. How We Use Information

We use personal information to:

  • Operate the Platform: display listings, host agent websites, route buyer inquiries, and provide agent dashboards.
  • Review agent applications and administer agent accounts.
  • Process subscription payments (after commercial launch).
  • Communicate with you: respond to support requests, send service notifications (such as a notice that a new property was added to the syndication list, where an agent has opted in), and contact beta agents for feedback.
  • Keep the Platform secure, prevent fraud and misuse, and enforce the Agent Agreement.
  • Comply with legal obligations.

We do not sell personal information. We do not use your personal information for third-party advertising.

4. How Buyer Inquiries Are Handled

This is the part of the Platform where personal information changes hands, so we want to be precise about it.

When you submit an inquiry on a property page, your inquiry — including your name and contact details — is sent to the agent who operates the website where you submitted it. On the central TP4H buyers page, the inquiry is sent to the agent responsible for that listing.

Some listings displayed on an agent’s website are syndicated — that is, originally posted by a different member agent. If you inquire about a syndicated property, your inquiry still goes to the agent whose website you used, and that agent may share your inquiry with the agent who originally listed the property so the two can work together on your request.

Once an inquiry is delivered, the receiving agent handles it as an independent real estate professional. Agents are contractually required to handle inquiry information responsibly and to use it only in connection with the inquiry, but agents are independent businesses, not employees of TP4H.

5. Who We Share Information With

  • Member agents: buyer inquiries are shared with agents as described in Section 4.
  • Service providers: companies that host and support the Platform — currently our hosting provider, HostArmada, email delivery services, and, after launch, a payment processor. These providers process data on our behalf and are not permitted to use it for their own purposes.
  • Legal requirements: we may disclose information when required by law, court order, or a competent authority, or where necessary to protect the rights, safety, or property of TP4H, our agents, or the public.
  • Business transfers: if TP4H is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this Policy.

Public display is different from sharing: content that agents post for marketing purposes (listings, photos, agent profiles) is public by design and visible to anyone on the internet.

6. Where Data Is Stored and International Transfers

The Platform is hosted on servers operated by our hosting provider, located in the United States (Dallas, Texas). If you use the Platform from outside that country, your information will be transferred to and processed in that location.

7. How Long We Keep Information

  • Agent accounts: account and listing data is kept while the account is active. Deactivated accounts are retained in deactivated form (not visible to the public) unless and until deletion is appropriate; agents may request deletion of their account data, subject to records we must keep for legal, accounting, or dispute-resolution purposes.
  • Buyer inquiries: retained as part of the receiving agent’s lead records on the Platform. Buyers may request deletion of their inquiry data (see Section 9).
  • Technical logs: kept for a limited period for security and troubleshooting, then deleted or anonymized.

8. Security

We take reasonable technical and organizational measures to protect personal information, including encrypted connections (HTTPS) across the Platform, encrypted storage of sensitive settings, access controls, and account passwords stored in hashed form. No system is perfectly secure, but we work to protect your information and will respond promptly to any incident.

9. Your Rights and Choices

Subject to Costa Rica’s data protection law (Law No. 8968) and other applicable law, you have the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or outdated.
  • Request deletion of your personal information, subject to legitimate retention requirements.
  • Withdraw consent where processing is based on consent.

To exercise any of these rights, contact us at support@theplace4homes.com. We will respond within the timeframe required by law. Agents can update most account information directly from their dashboard.

10. Children

The Platform is intended for adults. It is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us personal information, contact us and we will delete it.

11. Third-Party Links

Listings and agent websites may contain links to external websites or services (for example, a map provider or an agent’s social media). This Policy does not cover those third parties, and we encourage you to review their privacy policies.

12. Changes to This Policy

We may update this Policy from time to time, including when the Platform moves from beta to commercial launch. We will post the updated Policy on the Platform and, for material changes, notify agents by email or through the Platform with reasonable advance notice. The “last updated” date at the top of the published Policy will always tell you when it last changed.
